Please carefully review the following information before proceeding with your rental inquiry. Afterward, kindly fill out our Rental Inquiry Form.

Rentals are based on availability and are subject to the sole discretion of The Hi-Pointe Theatre management. We highly recommend planning 2+ months in advance of your event and having flexible dates in mind until your booking has been confirmed. Each rental will include ONE pre-event meeting with cinema management at a mutually-agreed-upon time. Additional meetings may result in extra fees to cover staffing cost. Renters who are intending to screen copyrighted material are required to obtain and are responsible for all media and public performance licenses for the film(s) they wish to screen.

Rental availability is determined by the number of film screenings we may need to cancel to accommodate your request. Rentals are offered in three-hour blocks, mirroring the duration of a typical two-hour film screening with additional setup and teardown time included.

All time spent in the theater, including setup, teardown, and equipment loading, is considered part of the rental period. For instance, if you book a rental from 6:30 pm to 9:30 pm, you are expected to arrive at 6:30 pm for setup, including any necessary audio/video checks, and vacate the premises promptly at 9:30 pm. Any extra time required must be rented accordingly. Although rentals commence and conclude at half-hour intervals, we do not prorate charges for partial half-hours.

Rental Time Frame Monday-Thursday Friday-Sunday
Before 3:00pm $300 per hour $500 per hour
3:30pm - 6:30pm $1,000 $1,500
6:30pm-9:30pm $1,500 $1,750
9:30pm-12:30am $1,500 $1,750
Full Day (8 hrs) $3,500 $5,000

Failure to comply with Hi-Pointe's rental policies during your event may result in cancellation or a discretionary $1,000 non-compliance fee. Additional labor will be charged at a minimum of 4 hours as needed: Projectionist (1 staff person): $30/hour covering labor, equipment usage, and one handheld wireless microphone. Tech Director: $50/person/hour required for stage, lighting, and additional audio needs. A tech director is mandatory for events with five or more wireless microphones or large panel discussions/Q&As. Extra lobby/concessions staff: $30/person/hour (4-hour minimum) as required. Off-hours will necessitate additional staff to oversee an unlocked lobby and operate concessions if requested.

Event organizers are responsible for reporting and paying music licensing fees to BMI, ASCAP, and SESAC if copyrighted music is played by a DJ or live musician. Parking fees to be determined.

Rentals are subject to availability, and the schedule is often dependent on regularly scheduled movies and studio obligations. Rentals are not confirmed until a signed letter of agreement and a negotiated deposit has been received by The Hi-Pointe Theatre. PAYMENT IN FULL (based on Rental Rates) IS DUE TWO WEEKS BEFORE THE EVENT AND IS NON-REFUNDABLE WITHIN 10 DAYS OF THE EVENT DATE.

All exhibition media must be delivered to The Hi-Pointe Theatre at least (1) one week in advance of your rental.

Outside food and/or drinks are not allowed unless previously approved by The Hi-Pointe Theatre management. No outside alcohol is allowed. The concession stand will be open and staffed during events on an as needed basis.

Ticketing can be handled by the renter or The Hi-Pointe Theatre.

The number of tickets sold (including any comp. tickets) cannot exceed the auditorium capacity. If tickets are sold by the renter, The Hi-Pointe Theatre cannot sell any portion of tickets through the box office.

If tickets are sold to the event, the terms of the rental (See Rental Rates above) default to negotiated auditorium rental vs. a 40/60 split of box office revenue. The Hi-Pointe Theatre receiving 40% of the total box office collected if above the initial quoted rental rate.

The Hi-Pointe Theatre can provide in-person and online ticketing for the rental. If tickets are sold through The Hi-Pointe Theatre’s box office, there will be a 15% charge on the total gross ticket sales to cover ticketing processing fees charged by our system providers. Box office reporting and proceeds will be processed within 5 business days upon completion of the event.

The Hi-Pointe Theatre staff can meet ONCE with renters for a technical test; all additional meetings will require a $50 per hour fee, with a one-hour minimum fee to be charged. Any meetings require a minimum 72 hour notice.

Marketing and publicity materials cannot be distributed at Hi-Pointe unless prearranged with the Operations Director.

The Hi-Pointe logo cannot be used on any event materials, and the venue cannot be referenced as a presenter, co-presenter, host, or co-host.

Hi-Pointe Theatre should only be mentioned for location purposes, with "theatre" spelled with the "re" at the end.

The Hi-Pointe Theatre would like to encourage the use of our space to spark community conversations and education. To further our mission, we want to work with other nonprofit partners, educational institutions, filmmakers and film organizations.
